Your Resume Meets a Robot First

Applicant Tracking Systems (ATS) scan your resume for keywords, formatting, and structure before any human sees it. Companies like Amazon, TCS, Infosys, and Wipro all use ATS. A poorly formatted resume — even with great experience — gets auto-rejected.

Mirror exact JD phrases

If the JD says "REST APIs", write "REST APIs" — not "RESTful services" or "API development". ATS matches exact strings, not synonyms.

Spell out abbreviations once

On first mention write "Machine Learning (ML)" — then "ML" is fine. You match both acronym and full-term searches.

Aim for natural density

Each core skill should appear 2–3 times across the whole document: once in Skills, once in a Project/Experience bullet, maybe once in the objective. Repeating it five times reads as spam to a human reviewer.

No special characters

Avoid emoji and fancy dividers (★, ➤, ✦) in section headers and bullets — stick to plain text and standard bullets.

Resume Formatting Rules

The exact rules ATS parsers care about. Scan the do/don't columns before you touch a template.

File & Length

Save as PDF

PDF preserves formatting across every system. Only use Word if the application portal explicitly requires it.

Save as .doc / .docx

FirstName_LastName_Resume.pdf

No spaces, no version numbers.

resume_v3_FINAL2.pdf

Exactly 1 page

1 page for freshers and anyone under 3 years experience. No exceptions.

2+ pages as a fresher

Selectable, copyable text

If the parser cannot select the text, it reads nothing at all.

Scanned image or flattened design export

Layout

Single column only

The parser reads left-to-right, top-to-bottom — columns scramble the reading order.

Tables, text boxes, multi-column layouts

Margins 0.5"–1" on all sides

Margins under 0.5"

Contact info in the document body

Some ATS systems don't scan headers/footers at all, so a header-only resume can be silently rejected.

Contact info only in the header/footer

Plain text sections

These either get ignored or actively confuse parsers.

Photos, icons, skill "rating bars", graphics

Typography

Arial, Calibri, Helvetica or Georgia

Decorative or script fonts

Body 10–12pt, name/header 14–16pt

8pt text to squeeze in more

Line spacing single or 1.15

Cramped 0.8 spacing

One consistent bullet style (• or -)

Mixing bullet characters

Content Rules

3–5 bullets per role or project

One line each ideally, two lines maximum.

Paragraph blocks or 10-bullet dumps

Start every bullet with an action verb (Built, Designed, Implemented, Reduced, Optimized)

"Responsible for…", "Worked on…"

"Reduced query time by 40%"

Quantify wherever possible.

"Improved performance"

Third-person implied voice

First-person pronouns ("I", "my")

Standard headers: "Experience", "Projects", "Education", "Skills"

ATS matches exact standard labels.

"My Journey", "What I've Built"

"Jan 2025 - Present" everywhere

One consistent date format through the whole document.

Mixing "01/2025-Present" elsewhere

Keyword Rules

Mirror exact JD phrases — "REST APIs"

ATS matches exact strings, not synonyms.

"RESTful services", "API development"

Spell out on first mention: "Machine Learning (ML)"

This way you match both acronym and full-term searches.

Only ever writing "ML"

Each core skill appears 2–3 times across the document

Natural density: once in Skills, once in a Project/Experience bullet, maybe once in the objective. Stuffing reads as spam to a human reviewer.

Repeating "Python" five times in one bullet list

Plain text and standard bullets

Special characters in headers and bullets are ATS-unfriendly.

Emoji or fancy dividers (★, ➤, ✦)
